1. Introduction
These Quotation Terms apply to quote requests, formal quotations, catalogue enquiries, product requests, bulk orders, installation requests, configuration requests and project enquiries submitted to EDM Solutions through the Product Catalogue, email, WhatsApp, phone or any approved communication channel.
The EDM Solutions Product Catalogue is quotation-based. Submitting a quote request does not create a confirmed order, sale, reservation or delivery obligation until EDM Solutions issues a formal quotation and the customer accepts it according to the terms stated on the quotation.
2. Quote Requests
A quote request is an enquiry submitted by a customer for products, services or project assistance.
A quote request may include product selections, quantities, customer contact details, project notes, installation requirements, meter details or other supporting information.
EDM Solutions may contact the customer for additional information before issuing a formal quotation.
3. Formal Quotations
A formal quotation is the official pricing and scope document issued by EDM Solutions.
Only the formal quotation should be relied on for final pricing, product scope, quantities, delivery cost, installation cost, configuration cost, VAT treatment, payment terms and any special conditions.
Catalogue prices, product cards, promotional banners or informal discussions may be indicative only.
4. Validity Period
Quotations may be valid for a limited period as stated on the quotation.
If no validity period is stated, the quotation may be subject to change based on stock availability, supplier pricing, exchange rate movement, delivery cost, configuration requirements or project scope changes.
Expired quotations must be reconfirmed by EDM Solutions before acceptance.
5. Pricing
Prices may depend on
- Product availability;
- Quantity required;
- Supplier pricing;
- Meter model;
- Configuration requirements;
- Vending setup;
- Installation scope;
- Delivery location;
- Site conditions;
- Project complexity;
- VAT and tax treatment;
- Any additional services required.
EDM Solutions may revise pricing where costs change before the quotation is accepted and confirmed.
6. VAT and Exclusions
The quotation will indicate whether amounts are VAT inclusive or VAT exclusive where applicable.
Unless clearly included, a quotation may exclude delivery, installation, configuration, commissioning, meter registration, vending setup, plumbing work, electrical work, civil work, travel, support services, maintenance and any additional site-specific work.
7. Acceptance of Quotation
A quotation is accepted when the customer confirms acceptance in writing, signs the quotation where required, issues an approved purchase order where applicable, or makes payment according to the quotation terms.
EDM Solutions may require confirmation of payment, deposit, proof of payment, purchase order or internal approval before processing the order.
8. Order Confirmation
An order is not confirmed until EDM Solutions confirms acceptance, payment requirements are met, and product or service availability is verified.
EDM Solutions may decline or revise a quotation where stock is unavailable, supplier pricing changes, technical requirements are unclear, site information is incomplete, or the requested solution is unsuitable.
9. Deposits and Payment Terms
Payment terms will be stated on the formal quotation or invoice.
EDM Solutions may require
- Full payment upfront;
- A deposit before procurement;
- Balance before delivery;
- Balance before installation;
- Payment before configuration or commissioning;
- Purchase order approval for approved account customers.
Work may be delayed until the required payment or approval is received.
10. Stock Reservation
Products are not reserved indefinitely after a quote is issued.
Stock may only be reserved once the quotation is accepted and any required payment or deposit is received.
If stock becomes unavailable before acceptance, EDM Solutions may revise the quotation, recommend an alternative product or confirm a new lead time.
11. Lead Times
Lead times stated on a quotation are estimates unless specifically confirmed in writing.
Lead times may be affected by supplier availability, courier delays, payment delays, customer information delays, configuration, meter registration, vending setup, installation scheduling or project phasing.
12. Changes to Scope
If the customer changes the product quantity, installation requirement, delivery address, site scope, configuration requirement, meter type, technical requirement or project timeline, EDM Solutions may issue a revised quotation.
The revised quotation may replace previous pricing and terms.
13. Site Information
For installation or project quotations, the customer must provide accurate site information.
EDM Solutions may request photos, site details, pipe sizes, phase information, meter locations, access requirements, existing infrastructure details or a site visit before finalising the quote.
If the site differs from the information provided, additional charges may apply.
14. Installation Quotations
Installation is only included where clearly stated.
Installation quotations may be based on information provided by the customer. If additional work is discovered on site, EDM Solutions may issue an additional quotation or charge for extra materials, labour, travel, return visits or revised scope.
15. Configuration and Vending Setup
Configuration, commissioning, meter registration, vending linking, keypad pairing, platform setup and tariff setup are only included where clearly stated.
Where third-party vending providers, supplier portals or external systems are involved, additional processing time may apply.
16. Bulk and Project Quotations
Bulk orders, estates, complexes, commercial sites, municipal projects and infrastructure projects may require phased quotations, staged delivery, project scheduling and separate installation or support terms.
EDM Solutions may issue separate quotations for supply, delivery, installation, configuration, commissioning, support or maintenance.
17. Promotions and Discounts
Any promotion, discount or special offer is subject to availability, validity period and the specific conditions stated by EDM Solutions.
Promotions may not apply to special-order products, installation, configuration, delivery, bulk project pricing, supplier price changes or expired quotations unless confirmed in writing.
18. Errors and Omissions
EDM Solutions reserves the right to correct errors, omissions, pricing mistakes, typographical errors, product description mistakes or calculation errors before a quotation is accepted and processed.
If an error is discovered after issuing a quotation, EDM Solutions may issue a corrected quotation.
19. Cancellation After Acceptance
If the customer cancels after accepting a quotation, EDM Solutions may deduct costs already incurred.
This may include supplier costs, configuration costs, administration, delivery, restocking fees, cancellation fees, installation scheduling costs, labour costs or third-party charges.
20. Relationship With Other Policies
These Quotation Terms must be read together with

Where a formal signed agreement or quotation includes specific terms, those specific terms may apply together with these general quotation terms.
